Bring the information you have. Unknowns become preparation tasks; they do not automatically prevent an initial conversation.

  1. What work, event, product or venue is proposed, and who is the intended audience or buyer?
  2. Who controls the creative work, site, brand and rights being offered?
  3. How will production, distribution, ticketing or sales generate revenue?
  4. What preparation would establish the audience, clear the rights or make delivery viable?

Describe what exists, its source and date, and what still needs confirmation. Sensitive records should follow an agreed private sharing process.

  • Promoter and creative-team details, portfolio or concept, and the proposed investment or partnership structure.
  • Available rights, licences, contributor agreements and venue or site permissions; identify unresolved ownership questions.
  • Audience or buyer evidence, distribution or event partners, production plan and costed budget.
  • Funding milestones, deliverables, revenue assumptions and the arrangements for attribution, ownership and use of the finished work.

Know who

Arts-sector development guidance and the applicable organisation or activity pathway.

Relevant local authority and venue or heritage custodian

Applicable venue, event, building, safety and site permissions.

Relevant rights holders and competent specialist advisers

Confirmation of copyright, performer, image, music and other rights needed for the proposed use.

Access to a photograph, recording, design or cultural site does not by itself establish the right to commercialise it.

Match event, venue and heritage permissions to the proposed activity; a cultural theme does not confer access to protected sites.

Keep rights clearance, commercial preparation and regulatory permissions as separate work items, each with an accountable person.
